Salary: $18.00/hour

Job Summary:

The Tribal Archivist will be responsible for filing and storing all tribal documents that pass through the Tribal Council and front Administration, that are not primarily financial to protect and preserve Tribal History, for both the Government/Business, as well the Community/Culture of the Moapa Band of Paiutes. These include Council Agenda attachments, forms and requests filled out by tribal membership, Department Documents, previously active contract agreements, images, newspapers etc. They will work closely with the Council Assistant and Chair, as they will see many confidential documents and will not have authority to destroy any documents unless prescribed in written reason with approval given by the Chairman in accordance with a Document and Data retention policy.

Duties:

  1. Responsible for combing meticulously over older Tribal Documents and consider their necessity to be digitally archived as well as if there is a need for more than one stored copy.
  2. Responsible for following an approved filing process.
  3. Help formulate and edit a filing process that will best fit the needs of the Tribal Administration.
  4. Be available daily to receive document requests and provide a digital and or a physical copy to the requestor.
  5. Follow a prescribed process in determining null documents and provide formal narratives as to why a document is null and no longer needed in Tribal Archives.
  6. Follow a prescribed process in determining necessary documents, that need to either need to be within the Archival Room or moved to a Tribal Connex.
  7. Draft and formulate a formal list of all Tribal Maps and store them in a manner of which they can be preserved both digitally and physically for future generations.
  8. Help create binders and books requested by Tribal Council or Administration.
  9. Archive and protect Tribal Images in the Administration Building, as well as archive any future images of Projects, Community Events, and Historical Images donated by outside agencies or Tribal membership.
  10. Study images of individuals within pictures and answer requests for copies of images from members requesting if applicable.
  11. Intake new Documents, Maps, and Images into the filing system.
  12. Protect and preserve culturally sensitive items.
  13. Follow and implement a digital filing system, using the Tribes most current approved filing system.
  14. Take directions from Administration.
  15. Provide feedback and updates on how filing previous Tribal Documents is going.
  16. Other duties as assigned.

Requirements:

  • Must be over 18 years of age.
  • Must possess a High School Diploma or GED.
  • Prefer at least 2 years of office work.
  • At least one year previous experience as a File Clerk/Receptionist preferred.
  • Thorough knowledge of computer programs: Word, Excel, PowerPoint, Publisher, Outlook, Internet programs and applications.
  • Must be able to maintain complete confidentiality.
  • Previous experience using a data storage system preferred.
  • Must be dependable.
  • Must demonstrate friendly, service oriented and responsible attitude.
  • Must have the ability to establish and maintain effective work relationships.
  • Must be able to communicate effectively both orally and in writing and be able to understand and follow direction.
  • Must be detail oriented and have great organizational skills.
  • Inventory experience preferred.
  • Must have the ability to multi-task projects and assignments.
  • Must be able to follow verbal and written instructions of supervisor.
  • Must be able to work independently with little direction.
  • Must have the ability to exercise good judgment.
  • Must be culturally sensitive.
  • Must care about preserving all historical data of the Moapa Band of Paiutes.
  • Must pass a pre-employment background check.
  • Must pass a pre-employment alcohol/drug screening.
