Job Description

Omega Systems is a rapidly growing IT consulting firm, and we are seeking individuals who want to grow with us. The ideal candidate for the Purchasing Specialist role must be detail-oriented, able to multitask, and comfortable working in a fast-paced, team-oriented environment. Under the guidance of the Senior Purchasing Manager, the Purchasing Specialist is responsible for:

Functional Responsibility and Task Statements

• Working with the purchasing manager to run the purchasing department.
• Maintains and develops professional partnerships with distributors and vendors.
• Processes signed documents.
• Generates purchase orders and invoices using QuickBooks software.
• Places orders for external and internal equipment requests.
• Tracks and follows up on open purchase orders.
• Communicates shipping statuses with the sales team.
• Monitors and manages workflow of purchasing tickets.
• Ensures cost accuracy, maintains margin standards, and responds fast to market conditions.
• Maintains licensing database (includes Microsoft 365).
• Other duties as assigned by management.

Technical Responsibility and Task Statements

• Knowledge and experience with software, including Microsoft Suite (Excel, Word, Outlook, and Teams) and QuickBooks.

Incumbent(s) in this position may be required to perform other duties and special assignments not specifically stated.

Environmental : The job operates in a professional office environment. This role routinely utilizes standard office equipment, including computers and phones.

Travel Requirements : Minimal travel is required for this position.

Desired Qualifications and Skills

• High school diploma or equivalent (Associate Degree or B.Sc. in Logistics, Purchase and Supply, Business Administration, or related fields preferred).
• At least two years of experience in a purchasing position.
• Excellent communication, negotiation, and interpersonal skills
• Detail-oriented.
• Strong organizational skills, a good understanding of sourcing, and the ability to maintain vendor relationships.
