Event Planner II

The Event Planner II will support Associate engagement by executing various company events that support our culture and values. In partnership with the Events Manager, the role will research and support the execution of highly engaging and successful events that drive Associate participation and engagement.

What You Will Do Essential Responsibilities

  • Plan and coordinate events that support Associate engagement and participation both in person and virtually.
  • Plan and execute logistics, budget, volunteers, vendor management and communications in support of various company-hosted events.
  • Submit requests and facilitate marketing and creative collateral as needed.
  • Partner with the CarMax Facilities team to coordinate details of any on-campus events, including room or space reservations, set-up, and potential parking changes.
  • Coordinate logistics such as catering, transportation, registration, guest accommodations and audiovisual needs for events.
  • In partnership with the Event Manager, help support the writing of internal communications, company articles, reservation forms, surveys, and other necessary communications regarding events.
  • Oversee event setup and ensure events run smoothly, addressing issues and assisting guests as needed in a professional manner.
  • Support processing, payment, and recording of any invoices or payments to event vendors.
  • Respond on behalf of CarMax to a variety of internal and external events questions and inquiries.
  • Evaluate event success post-event, offering recommendations for improvements at future events.
  • Maintain CarMax Events calendars.
  • This role will act at the discretion of the Manager, Events.

Purpose of the Role

This role will work in a cross-collaborative environment to help create an engaging workplace environment through events and other activities. The ideal candidate has experience in supporting the execution of company events. They will have demonstrated experience delivering exceptional customer service in a fast-paced, detail-oriented environment.

Qualifications and Requirements

  • Four-year college degree (Marketing, Advertising, Mass Communications, Hospitality, or related field) or equivalent experience.
  • 2-3 years of experience in events or relevant planning experience.
  • Knowledge of etiquette and the food and beverage service industry.
  • Experience developing and executing complex event logistics in support of company events or volunteer activities.
  • Demonstrated success providing exceptional customer service.
  • Detail oriented with the ability to multi-task, work independently, and support competing priorities.
  • Demonstrated experience with communicating both simple and complex messages in a manner that is clear, persuasive, and sincere, at all levels of the organization.
  • Communicate clearly and effectively through verbal, written, and nonverbal methods.
  • Ability to convey a professional and positive image in a variety of settings and with diverse audiences.
  • Ability to support setting up indoor and outdoor events in various environments and weather conditions.
  • Availability to work some weekends or evenings to support events as needed.
  • Ability to travel overnight to support events on location.

Work Location and Arrangement

This role will be based out of the CarMax Home Office in Richmond, VA and have a Hybrid work arrangement.
