Manpower is looking for Administrative Assistant a contract opportunity in Edmonton, AB.

 
Schedule:
* Monday-Friday (8:15am- 4:30pm)

Qualifications: 
* 2 years’ experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
* Knowledge of office management systems and procedures
* Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
* Excellent time management skills and the ability to prioritize work.
* Attention to detail and problem-solving skills.
* Excellent written and verbal communication skills
* Strong organizational skills with the ability to multi-task
Responsibilities: 
* Coordinating all office administration and branch activities.
* Supporting SEPI ED in scheduling, booking meetings and managing ED calendar.
* Meeting management (e.g., meeting materials and notes/minutes, briefing packages, agendas, logistics).
* Coordinating all SEPI action requests (AR) as the SEPI AR lead.
* Providing, communicating, and implementing a clear AR process for SEPI and making improvements as needed.
* Track ARs and update ED and Directors daily.
* Coordinating non-AR correspondence (i.e. Incoming mail/e-mail, filing, in conjunction with ADMO).
* Providing general administrative support for Executive Director:
o Preparing documents and correspondence including proofreading and editing memos, letters, documents, reports, tables and department forms.
o Photocopying, printing, booking boardrooms and scanning/emailing letters.
* Providing project/committee/unit support as needed (e.g., records management, logistics).
* Coordinating 1GX tasks as the Workplace Administrator (e.g., position management, job requisitions).
* Perform onboarding and exiting support for SEPI team.
* Acting as the CLP FOIP administrative lead.
* Managing travel arrangements and completing financial forms for SEPI staff.
* Liaising with HR, Payroll and Finance.
* Creating and maintaining a working administrative procedure manual.
* Coordinating administrative training support for AS4 and new staff.
* Prepare documents and correspondence including proofreading and editing memos, letters, documents, reports, tables and department forms as requested.
* Photocopying, printing, booking boardrooms and scanning/emailing letters.
* Order supplies as requested and maintain supplies in the Resource Room.
* Responsible for processing NPO and PO invoices.
* Contract Licence User (CLU) for CLP, responsible for creating SES and entering contracts into 1GX/Ariba.
* Monitor, track and reconcile budget/P-Card expenses for the branch.
* Reconcile Cost Center report against all invoices received for SEPI branch.
* Computer Equipment
* Support SEPI/CLP in acquisition, evergreening and surplusing.
* Set up workstation for new staff.
* Remove equipment of staff exiting IR
* Providing cover-off for AS5 and assisting with recruitment when needed.
